FreonPhone answers after-hours phone calls on behalf of HVAC contractors. That means we handle recordings, transcripts, and contact details belonging to two groups: the shops that hire us, and the customers who call those shops. This policy explains what we collect, why, and what we will never do with it.

Call information exists so the contractor can serve the caller: dispatching a technician, confirming an appointment by text, and escalating a genuine emergency. Website information exists so we can respond to your request about the service. We do not build advertising profiles, and we do not use call content to target anyone with marketing.
When a job is booked, we send a confirmation text to the number that called. Consent to receive that text is given verbally on the recorded call, or through the consent checkbox on this website.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except for aggregators and providers of the Text Message services.
SMS consent is never treated as transferable. Consent given to one business does not carry over to another, and we do not sell, rent, or trade phone numbers.
Call recordings and transcripts are visible to the contractor whose line was answered, and to our own staff only where needed to operate or repair the service. Beyond that, we share data only with the vendors that make the service work — telephony and messaging carriers, speech and language processing providers, and our hosting provider — and only to the extent they need it to perform that function.
We may also disclose information where the law requires it, or where it is necessary to protect someone's safety. We do not sell personal information.
Recordings and transcripts are retained under the contracting shop's own retention policy and are deletable on request. Website enquiries are kept until you ask us to remove them.
Recordings and transcripts are encrypted in transit and at rest. Access to the call dashboard is restricted and authenticated. No system is perfect, and we will not claim otherwise — but call content is treated as sensitive personal information, because it is.
This service is sold to businesses and is not directed at children under 13. We do not knowingly collect information from them.
If this policy changes materially, we will update the effective date above and, where the change affects messaging consent, record a new consent version against future submissions.
